Cancellation Policy

Effective Date: June 15, 2015

At Beyond Biomechanics LLC, we value your time and the time of our trainers. To ensure fairness and efficiency for all clients, please review our official cancellation and rescheduling policy below.

1. Session Cancellation

1.1 All scheduled training sessions must be canceled at least 24 hours in advance.
1.2 Cancellations made less than 24 hours before the session may be marked as completed or result in a late cancellation fee, at the discretion of the studio.
1.3 Sessions may be rescheduled without penalty if done within the 24-hour window and based on trainer availability.

2. No-Show Policy

2.1 Clients who fail to show up for a scheduled session without prior notice will forfeit that session.
2.2 If a client is more than 15 minutes late, the session may be counted as used and shortened or forfeited entirely, at the trainer’s discretion.

3. Membership and Recurring Billing Cancellations

3.1 You may cancel a recurring membership by providing written notice at least 30 days prior to your next billing cycle.
3.2 Cancellations must be sent to info@beyondbiomechanics.com or mailed to our physical address.
3.3 Membership auto-renewals (month-to-month) continue unless canceled in writing in accordance with this policy.

4. Cancellation Within 3 Days of Enrollment (Refund Window)

4.1 New clients may cancel within 3 business days of signing their agreement to receive a full refund, in accordance with Virginia state law.
4.2 After this period, no refunds will be issued except under the conditions noted below.

5. Cancellations Due to Medical or Special Circumstances

5.1 If you become physically unable to use our services for 90 consecutive days or more, you may cancel with proof of a medical condition.
5.2 In the event of a member’s death, their estate may cancel and receive a refund for unused sessions.
5.3 A doctor’s note may be required to process cancellations related to health conditions.

6. How to Submit a Cancellation

7. Refunds (When Applicable)

7.1 Refunds will be processed within 30 days of an approved cancellation.
7.2 Refunds may be prorated based on the number of sessions used or time elapsed.
